Privacy Policy

This Privacy Policy governs your use of Speaking Email for mobile devices that was created by Beweb Limited New Zealand. This application is for use as an out loud spoken email for use in cars and during exercise.
 

Use of your information
 

  1. Speaking Email will not sell or rent your Personal Information to third parties. Personal Information is any information that you supply to Speaking Email, and any emails that use our system. 
     

  2. If Speaking Email is involved in a merger, acquisition, or sale of all or a portion of the company, you will be notified via email and/or a prominent notice on our website of any change in ownership or uses of this information, as well as any choices you may have regarding this information.
     

  3. We may use the information you provided to us for marketing purposes, for example, to contact you from time to time to provide you with important information, updates or required notices. You be able to update your email preferences at any time to opt-out of or refine what kinds of emails you receive.
     

  4. Speaking Email may collect certain information automatically including, but not limited to, the type of mobile device you use, your mobile devices unique device ID, the IP address of your mobile device, your mobile operating system, and information about the way you use the application. This information will not be shared by Speaking Email with any third party, unless required by law.
     

  5. Speaking Email does not collect precise information about the location of your mobile device.
     

  6. Speaking Email will collect only the personal information about you that is needed for you to login and use our system. This includes your email address and name. Speaking Email does not capture or record any data about your friends, likes, demographics or other personal information.
     

  7. Speaking Email uses the information so you can login and and use our system. The information we collect is used to verify your identity, to enforce or apply our terms or conditions, to protect or safety of Speaking Email, our users or others.
     

  8. We have implemented reasonable security measures to protect the confidentiality, security and integrity of the collected information and prevention of unauthorized access.
     

  9. We release Personal Information only when we believe release is appropriate for legal compliance and law enforcement (including to government agencies with statutory law enforcement responsibilities); to facilitate court proceedings; enforce or apply our terms and conditions; or protect the rights, property, or safety of Speaking Email, our users, or others.
     

  10. We may use data relating to your use of Speaking Email (for example, how often you use the app and how many emails are downloaded) to understand and analyse trends in connection with the usage of the App, and for auditing, learning and improving the App. No information that can identify individual users will be shared with any third party.
     

  11. If you wish to stop using Speaking Email you may ask us to delete any Personal Information you have submitted to us. Please contact us at feedback@speaking.email to make that request. We will delete any Personal Information about you that we hold.
     

  12. We are compliant with GDPR. You may request your data to be deleted or delivered to you any time. Please contact us at feedback@speaking.email to make that request. 

  13. We will retain collected information only for the period necessary to fulfil the purposes of helping users listen to the email on the move and for our own analytics. When information is no longer needed, we shall delete it using reasonable measures to protect the information from unauthorized access or use. Cached emails are expunged daily, removing any data more than 90 days old.
     

Security


  1. If using Office 365, Outlook.com, or Gmail account, this is a direct connection to Gmail or Microsoft and does not pass through our servers. Replying to emails is also directly, so no information will pass via our servers. We have no access to this data. Account security is managed by Oauth - this means that your security is directly with Google or Microsoft.

  2. If using an Exchange account, this is a direct connection to your server and your emails are downloaded directly to your device, and are not cached or stored on our servers.

  3. If using an IMAP/POP account, your emails are parsed on our server. In this case your data may be cached in our servers to provide performance and server-based email parsing. Your data is securely stored, transmitted, and not made available to Speaking Email employees or any third parties. Speaking Email will not use this email storage for any purpose other than caching to provide performant access to you when you are using the app.

  4. Speaking Email will collect and store information (including personal information) locally on your phone using local storage. Files will be saved on your phone for this purpose. These files are saved locally only and not sent to Speaking Email servers or any third party.

  5. We are concerned about safeguarding the confidentiality of your information. We provide physical, electronic, and procedural safeguards to protect information we process and maintain. For example, we limit access to this information to authorised employees and contractors who need to know that information in order to operate, develop or improve our Application. Please be aware that, although we endeavour to provide reasonable security for information we process and maintain, no security system can prevent all potential security breaches.

  6. We are conscientious about accessing, storing and transmitting only the data necessary for the functionality we provide. There are four cases where your information is sent to cloud servers:
    1. IMAP acounts (for these accounts, all email content and your password is stored on our cloud servers). This does not apply to Gmail, Outlook.com or Office 365 accounts.
    2. Attachments (an opt-in optional feature where attachments are sent to our server to extract text)
    3. Account registration (your name and email address are used to identify yourself as a user of our service)
    4. Crash reporting (we have automated crash logging which includes logs of actions happening just before an error, which may include some fragments of personal information)


Google API Services User Data Policy


The Gmail API is used when connecting your Gmail account within Speaking Email. Speaking Email complies with the Google API Services User Data Policy, including the Limited Use requirements for resticted scopes for Gmail API.
